Pediatric Music Therapy

Privacy Policy

Effective October 15, 2026

This policy describes how Pediatric Music Therapy, LLC (PMT), based in Tennessee, handles information connected with www.pediatricmusictherapy.com, website inquiries, and membership-related services.

1 Information you provide

The information requested depends on the website feature you choose to use:

Contact inquiries: your email address and the subject and message you provide.

Membership or team inquiries: information such as your name, email address, setting, number of users, and membership interest.

Accounts and purchases: information you enter when creating an account, purchasing a membership or resource, or requesting account support.

Testimonials: your name, professional title or credentials, testimonial text, and the permission you provide for its use.

Online programs: your account’s enrollment, progress and completion information, including certificate information where a program provides a certificate. If you submit a response or post in a discussion, that content is also information you choose to provide.

Do not submit identifiable patient information. The website is not a channel for sending patient records or seeking urgent clinical care.

2 How information is used

PMT uses information provided through these features to respond to inquiries, administer the requested membership or purchase, provide relevant account support, and deliver the course or resource selected. Information submitted for a testimonial is considered for use consistent with the permission requested on that form.

PMT’s configured forms add their identity fields to Wix Contacts. Form submissions are configured to be accessible to the site owner and authorized collaborators. If you choose to post in a member discussion, consider the audience for that space before posting, and do not include patient information.

3 Wix and other service providers

PMT’s website uses Wix for website hosting and features that support forms, contacts, member accounts, online programs, purchases, and email delivery. Information submitted through those features is processed within the relevant Wix services. Wix describes its own practices at www.wix.com/about/privacy.

Payments are processed through Wix Payments or PayPal, depending on the option selected at checkout. These providers handle the information needed to process the payment. PMT can access purchase and payment records through its business tools, including information needed to identify the order, check payment status and provide support. Do not send payment-card details through a contact form or email. PayPal describes its practices at www.paypal.com/us/privacy-center/home.

PMT’s business email account is connected to Wix Inbox through Gmail to support email correspondence. Messages handled through that connection are processed by Wix and Google. Google explains its practices at policies.google.com/privacy.

QuickBooks: PMT uses QuickBooks for business accounting. When a purchase or other transaction is recorded there, the accounting record may include customer or billing information and transaction details. Intuit explains its practices at www.intuit.com/privacy/statement/.

Zoom: PMT uses Zoom for online meetings and sessions. If you take part, Zoom processes information associated with joining and participating, including your display name and any audio, video, messages or files you choose to share. What is collected also depends on the features and settings used. Zoom explains its practices at www.zoom.com/en/trust/privacy/privacy-statement/.

Printful: For physical products fulfilled through Printful, order and delivery information is processed through Printful to produce and send the order. This may include the recipient’s name, shipping address and relevant contact information. Printful explains its practices at www.printful.com/policies/privacy.

CBMT: For applicable continuing education opportunities, PMT shares the participant and course information required by the Certification Board for Music Therapists (CBMT) for provider reporting, credit documentation and audits. This reporting is separate from a participant’s responsibility to report credits for their own recertification.

4 Technical information, cookies and email tracking

The website uses Wix technologies that support site operation, security, sign-in and performance. These services can process technical information about your device and how you use the site. This information is not necessarily anonymous, particularly when it is connected with an account or browser identifier.

Wix-powered features use cookies or similar technologies for these functions. You can manage cookies through your browser settings, although restricting them may affect website features.

Email-open tracking is currently enabled in PMT’s Wix email tools. These tools can record whether an email has been opened. Wix email tools also report information about link clicks.

5 Adults children and patient information

PMT accounts are for adults. Family-facing resources may be used by adults to support children, but children are not authorized to create PMT accounts. Do not submit identifiable information about a patient, including a child.

If you believe a child or another person has submitted identifying patient information, contact PMT without including the information again.

6 Keeping information

PMT will review retained information quarterly and remove or de-identify information that is no longer needed, subject to applicable requirements and unresolved matters. The retention schedule is:

Ordinary contact inquiries: review for deletion 12 months after the inquiry is resolved, then remove unnecessary information at the next quarterly review. Information that also belongs to a purchase, CMTE, or dispute record follows that record’s schedule.

Account profiles: keep information while the account is open or needed to provide promised access. Review unnecessary profile information for deletion 12 months after account closure. Canceling a paid membership alone does not close the account or remove separately purchased access.

Purchase and tax-supporting records: normally retain for seven years after the later of filing the related tax return or paying the related tax, with longer retention where required. This does not require keeping an entire account profile or full payment-card details.

CMTE records: retain participant completion and credit records for at least five years after completion or credit issuance, whichever is later. Retain shared course documentation for at least five years after the last delivery covered by that version. Retain grievance and appeal files for five years after final closure, but never less than the related opportunity-record period.

Marketing preferences: retain subscription information while the person remains subscribed. After an opt-out, keep only the contact detail and suppression record needed to avoid sending unwanted marketing. Minimal privacy-request records are retained for two years after closure.

Other records, including testimonial permissions, are kept only while needed for their stated purpose, to document permitted use, or to meet an applicable requirement. PMT will retain necessary records longer while an audit, dispute, legal hold, or other obligation remains unresolved. These exceptions do not justify keeping unrelated information indefinitely.

7 Privacy requests and communication choices

Contact Amy Love at info@pediatricmusictherapy.com with privacy questions or requests to access, correct, or delete information associated with you. Use the subject “Privacy request” if helpful. Do not include patient information, passwords, or payment-card details.

PMT will acknowledge a request within five business days and aim to complete its response within 30 calendar days of receipt. If additional time or information is needed, PMT will explain why and provide the expected next response date. Any applicable legal deadline or extension requirement takes priority over this service target.

Before disclosing or changing account information, PMT will use proportionate steps to verify identity, normally through the account or the email address already on file. PMT will request only information needed to handle the request and will not routinely ask for identity documents. Marketing opt-outs do not require this account-verification process.

PMT will review relevant website records, connected services, and known exports before responding. A response will explain the action taken and any information retained, including why retention is necessary. Deletion may be limited where records are needed for tax obligations, CMTE documentation, an unresolved dispute, or another applicable requirement. Only the necessary records will be retained for those purposes. If you disagree with the response, reply to ask Amy to reconsider it; any appeal rights required by applicable law remain available.

You may stop promotional emails by contacting PMT. PMT will stop promotional sending promptly and no later than 10 business days after receiving the opt-out. Necessary account or transaction messages may continue.

8 External links and policy updates

External websites linked from PMT have their own privacy practices. Review the policy of the service you choose to use. PMT will identify the effective date of an approved policy update and provide any additional notice required for material changes by applicable law.
